ACCEPTANCE LETTER INFORMATION

 

1. FIRST STEP: READ THIS INFORMATION COMPLETELY!

Everything you NEED to know to start preparation is included in this manual.  Read it thoroughly.  Pay close attention to details, forms and especially your deadlines. 

 

2. DEADLINES

The complete entry fee can be paid all at once or in two installments arranged with our office. If you need to make payment arrangements, contact our office as soon as possible.  We are glad to work with you on this. All other deadlines are listed on the checklist.  

Pay Attention to the dates on the checklist. Put all checklist dates on your calendar immediately. You and/or your sponsors may pay through our credit card app, Square Inc. Please contact us with an invoice request, so that invoice can be issued. Ads that arrive after SEPTEMBER 1ST, 2024, may not be in program. 

 

3. Each contestant will represent a state or regional title like MISS VIRGINIA MSA , MISS SOUTHEAST REGION MSA, or MISS FLORIDA MSA,

5. WHAT DO I DO IF I DECIDE TO WITHDRAW? DEADLINES ARE SET TO ENSURE THAT YOUR INFORMATION IS INCLUDED IN OUR PROGRAM AT THE TIME OF PRODUCTION. 

Should you decide to withdraw from the competition, notify us IMMEDIATELY and understand that any amount of money you or your sponsor(s) have paid will be forfeited completely and will not be refunded for any reason.

STATE/REGIONAL COSTUME

The judges will be asked to focus on overall creativity, fashion and poise with which you carry yourself. Costumes are contestants' choice, but need to reflect (represent) their state or region.  It can be any color or pattern. No restriction on shoes.

 

Hair and make-up should be natural pageant appropriate, but for stage lighting.  

You should reflect excitement and confidence toward your appearance.  

 

BEAUTY

Judges focus on poise, overall appearance, sense of fashion and style. The overall effect should be elegant and sophisticated.  The dress needs to fit you properly and be a fashion and style that is current with today's fashion trends for the category you’re competing in. The color should complement your skin tone.  Make-up and hair should be more natural and applied for stage lighting, if you choose to use any.  Shoes should be stylish, snappy, and appropriate for your Pageant Dress.  This is where you will present yourself in traditional modeling form and fashion.  Practice walking in your dress and shoes, prior to the pageant. More Glitz and Glam on the attire is fine, but please remember that this is not a glitz pageant and that H&M need to reflect that.

JUDGES INTERVIEW

The judges will get an idea of who you are as an individual.  They are seeking a (young) woman capable of expressing herself clearly, intelligently, and confidently.  This is your opportunity to impress the judges with your opinions, ability to communicate, and overall sense of self.  They are not looking for rehearsed answers.  

 

Questions will come primarily from your Contestant Profile Fact Sheet but be prepared for anything. Your attire should reflect someone attending a job interview.  The style should be simple and sophisticated.  Be stylish- could be a jumpsuit, blouse with pants or skirt or dress. You want this outfit to bring out your personality!  Jewelry and shoes should be simple and fashion forward.  Make-up and hairstyle should be clean, sleek, and natural.  A “daytime” look is best.

Sponsorship for your Entry Fee

*Reminder that Personal Interview is for our Jr. Teen-Elite Contestants. If your child is Pre-Teen and under, please do not be thrown-off by the reference.

 

Though you are not required to seek sponsorship, we encourage you to do so.  Interacting with friends, acquaintances, and businesses in your community will help you when communicating with the judges panel, so seeking sponsorship creates a win-win situation. 

How do I obtain Sponsors?

The sponsor involvement is most easily obtained via personal relationships and contacts. Basically, if a sponsor believes in you and your “mission” - they will sponsor you.  Often, one sponsor may pay the total amount of your entry fee.  However, if this isn't the case, graciously accept their sponsorship because every amount helps.  Follow with a thank you note.  It's your job to keep them interested and informed.

 

A personal interview generally works best instead of an over the phone conversation.  You need to “sell yourself”, just as you would in a job interview or the judge's interview at the pageant.  This is great preparation for the pageant interview.  Tell the sponsor about yourself, why you want to compete, and why they should sponsor you.  Also, mention to them that this can be an advertising expense tax write off for them.

 

Be sure to pick the right time of day (not during peak business hours) to talk to the decision-maker, be original, friendly, prompt, and arrive prepared.  Read all of your information and have a full understanding of the pageant.  You never know what a potential sponsor may ask. Answer questions sincerely and intelligently and give them our national office number if they request it.  Our office number is:  (423) 895-2721.

 

Most importantly…Never give up!  Many contestants have been discouraged for one reason or another but continued to seek sponsorship, and it paid off.  You even want to obtain a few more sponsors than needed to meet your obligations to the pageant in order to help with your wardrobe, etc.  You may have as many sponsors as you want.

Who do I start with?

Some contestants are sponsored by companies where they or their family members work. Personal connection is one of the easiest ways to generate sponsorship and support. Remember that you can be sponsored by your family, employers, your school, civic/social organizations, friends, or yourself.  You may have the best success with businesses you and your family patronize.

What do my sponsors receive?

Any donation provided by a business or organization is considered a form of advertising and/or promotion and therefore may be considered tax deductible.

 

Keep in mind that all arrangements made are strictly between you and your sponsor.  There are no specific terms set by the pageant and the pageant accepts no responsibility for any arrangements you make in dealing with your sponsors. The sponsor is merely providing a means by which you may participate, often as a gesture of community goodwill. In addition, you may offer modeling or promotional services in return for sponsorship. The average daily rate for a model in a reasonable-sized city is $125 - $300. They can also be listed in your press release that you send to local media, if you are chosen as a 2024 National Titleholder.

 

Try to get sponsorship fees upfront before the potential sponsor has changed their mind or spends the money elsewhere.  Don't let this happen to you!  Meet your obligations early.  It may pay off by winning the national title!!!

What are the pitfalls?

There are many pageants in the UNITED STATES. 

Make sure your potential sponsor understands that this is the MISS SPECTACULAR AMERICA™ NATIONAL competition.

 

There is a sample letter for sponsors enclosed and examples of ad pages that may help you: Don't forget, there are other ways to earn your entry fee……….Bake sales, car washes, babysitting, etc…….

Sponsorship Game Plan

 

When it comes to asking for sponsorships you have to have a game plan.  The first step in the pursuit of sponsorships is to gather a list of potential investors in your pageant experience.  Who in your city or town is apt to write you a check or donate a gown?  Who in your family donates to charities?  Any aunts, uncles or family friends own or run companies?

 

You have to go after your close circle of friends and family first.  They will be your easiest sell. When you look at your day to day life, these are great places to look for leads.  The place to start is in your families' circle of activity.  Where do you shop for groceries?  Where do you bank?  Where does your family spend money?  What shops, banks, schools or gyms do you or your family frequent?  Find out who is in charge at the above places.

 

And remember you do not always have to ask for cash.  Donations of clothes, accessories and services are always welcomed.  The less you have to pay for the better!

Start a notebook.  Begin with the people you will approach first. When entering in your notebook you will need these important facts:

Documents for AGE and US Residency (Keep in mind that we offer a 6 Month Cushion)

  • ALL Contestants must submit a copy of their BIRTH CERTIFICATE, for proof/confirmation of age.

  • US Residence must be established on or before September 1, 2024.

  • In addition, contestant(s)/guardian must submit two residence documents:

At least one of which must be document type (a) through (e): (a) driver's license; (b) my voter identification card; (c) resident tax return; (d) lease or deed for a dwelling in contestant's name; (e) current school records, (f) current telephone or utility bills in contestant's name, (g) current bank or credit card statements in contestant's name, (h) employment documents in the contestant's name (Form W-4 and pay stubs only.

  • If the contestant is under 16 years of age, then to establish compliance with these residency requirements, attach the current or most current school records and understand that only the school records will be acceptable to show residency if the contestant is less than 16 years of age. If the contestant is under 6 years and does not attend school, please send proof of parent/guardian(s) residency.

 

  • I have resided in the US as a full-time student at a school, college or university for one entire semester immediately prior to the beginning of my National Pageant and I continue to reside in the US (although I may have spent or be spending the summer in another country).  I will submit official school records.


 
 


 

Program Book Ads

Selling program book ads gives you and your sponsors the chance to get more exposure and remember the ads can be a tax right off for the business as an advertising expense.  

 

The more ads you sell for the program, the more exposure you have.  The first impression the judges have of you is your official program ad(s). This is a great way to present to the judges different looks with various photos.  

 

You are able to display your pictures on each of your ads.  We strongly suggest you do this.  Selling ads by approaching the public builds confidence and this is great practice for your interview for our older contestants.  Remember your family and friends love you and might be interested in purchasing an ad for you for the program.  

 

Be business like…give receipts as you collect checks/payment.  Ads are to be camera ready.  If you need assistance with camera ready ads, call our office and we will assist you and direct you to someone who can help with your needs. ALL Ads are in Color
